Merging Duplicate Contributor/Donor or Payee Records

You can access the Contributor/Donor/Payee Duplicates page to view and merge duplicate Contributor/Donor or Payee records. The Contributor/Donor/Payee Duplicates page is a shared page for Contributor/Donor and Payee information. If you access the page via the Contribution/Donation Administration page, Contributor/Donor information is displayed. If you access the page via the Expenditure Administration page, Payee information is displayed.

Tasks

Perform one of the following:

To...

Then...

Modify a Contributor/Donor...

Click the contributions/donations tab.

The Contribution/Donor Administration page is displayed.

Click the view and merge duplicate contributors/donors link.

The Contributor/Donor/Payee Duplicates page is displayed with only Contributor/Donor fields visible.

Modify a Payee...

Click the expenditures tab.

The Expenditure Administration page is displayed.

Click the view and merge duplicate payees link.

The Contributor/Donor/Payee Duplicates page is displayed with only Payee fields visible.

Note: Required fields are indicated by an asterisk * to the right of the label and must be completed.

If necessary, perform the following:

1. Type the organization's name or individual's last name for which to search in the organization/last name field.

1. Click the search button.

If...

Then...

One or more records match the search criteria...

The search results are displayed in the Duplicate Contributor/Donor/Payee Results data grid.

If no records match the specified search criteria...

The system displays a message indicating no matching records were found.

If desired, perform another search.

In the Duplicate Contributor/Donor/Payee Results section, click the link in the Contributor/Donor/Payee Name column for the record you want to merge.

The Contributor/Donor/Payee Merge page is displayed. Potential matches are displayed in the Potential Duplicates data grid.

Click the select check box for the record you want to merge with the record displayed in the top section of the page.

Click the merge button.

A message is displayed indicating the specified records were successfully merged and the duplicate record was removed.

Perform the following:

To...	Then...
Update the aggregate amount...	Type the amount in the aggregate amount field and click the save button.
View audit messages...	Click the view audit messages link. The messages are displayed in a separate window. When finished viewing the messages, click the x in the upper right corner of the window to close it.
Return to the previous page...	Click the return button.
